AXITRAQ Operator Quick Reference

A one-page reference for operators and field staff

This guide covers the most common tasks you will perform day-to-day as an AXITRAQ operator. For detailed instructions on any topic, refer to the full user manual for that module.

Logging In

Web Platform

  1. Go to axitraq.com.au (or your regional AXITRAQ website).
  2. Click Login and enter your username and password.
  3. If two-factor authentication (2FA) is enabled, open your authenticator app and enter the 6-digit code.
  4. You will be taken to your Dashboard.

Mobile App

  1. Open the AXITRAQ app on your phone or tablet.
  2. Enter your username and password.
  3. Optionally enable biometric login (Face ID, Touch ID, or fingerprint) for faster access next time.
  4. Enter your 2FA code if prompted.

Pre-Start Checklist

Complete a pre-start checklist before operating any equipment.

From the Mobile App

  1. Tap Pre-Start on the home screen (or scan the asset QR code and select Pre-Start).
  2. Select the asset you are about to operate.
  3. Work through each checklist item, marking each as Pass, Fail, or N/A.
  4. For any failed item, add a note describing the issue and take a photo if possible.
  5. Tap Submit when complete.
  6. If any critical items fail, the asset may be flagged for maintenance. Do not operate the asset until the issue is resolved.

From the Web Platform

  1. Navigate to Inspections in the sidebar.
  2. Click New Inspection or select a scheduled inspection.
  3. Choose the asset and the pre-start checklist template.
  4. Complete all items and click Submit.

Post-Stop Checklist

Complete a post-stop checklist at the end of your shift or when you finish using an asset.

  1. Open the AXITRAQ mobile app and tap Post-Stop.
  2. Select the asset you have been operating.
  3. Complete all checklist items.
  4. Record any damage, wear, or issues discovered during your shift.
  5. Take photos of any concerns.
  6. Tap Submit.

Scanning an Asset QR Code

Every AXITRAQ asset has a QR code label. Scanning it gives you instant access to the asset's information.

  1. Open the AXITRAQ mobile app.
  2. Tap the Scan button on the home screen.
  3. Point your camera at the asset's QR code label.
  4. The asset profile opens, showing details, photos, inspection history, and maintenance status.
  5. From here you can start a pre-start check, report a maintenance issue, or view documents.

Reporting a Maintenance Issue

Report problems with equipment as soon as you notice them.

From the Mobile App

  1. Open the asset (scan its QR code or find it in the asset list).
  2. Tap Report Issue or Request Maintenance.
  3. Select the priority level:
  4. Low — minor issue, does not affect operation
  5. Medium — affects performance, should be addressed soon
  6. High — significant problem, may affect safety
  7. Critical — immediate safety concern, stop using the asset
  8. Describe the issue clearly.
  9. Take one or more photos showing the problem.
  10. Tap Submit.
  11. Your supervisor will be notified and the asset may be flagged accordingly.

From the Web Platform

  1. Navigate to Maintenance in the sidebar.
  2. Click New Request.
  3. Select the asset, fill in the details, set the priority, and submit.

Recording Parts Consumption

When you use parts or materials on a job, record the consumption so stock levels stay accurate.

From the Mobile App

  1. Tap Parts on the home screen (or navigate from within a job or asset).
  2. Search for the part by name or scan its barcode/QR code.
  3. Enter the quantity consumed.
  4. Select the asset or job the parts were used for.
  5. Add a note if needed (e.g. "replaced air filter").
  6. Tap Submit.

Clocking In and Out (Timesheets)

From the Mobile App

  1. Tap Timesheet or Clock In on the home screen.
  2. Your start time is recorded automatically.
  3. If prompted, select the job you are working on.
  4. When you finish, tap Clock Out.
  5. Record any break time if prompted.
  6. Your timesheet entry is saved and submitted for approval.

From the Web Platform

  1. Navigate to Timesheets in the sidebar.
  2. Click Add Entry or use the weekly view to fill in your hours.
  3. Enter start time, end time, break duration, and the job (if applicable).
  4. Click Save to save as draft, or Submit to send for manager approval.

Completing an Inspection

From the Mobile App

  1. Open the asset (scan QR code or search).
  2. Tap Inspect or select a scheduled inspection from your notifications.
  3. Work through each inspection item.
  4. Mark each item as Pass, Fail, or N/A.
  5. Add notes and photos for any items that require attention.
  6. Tap Submit when complete.
  7. If the inspection result is a fail, your supervisor will be notified.

From the Web Platform

  1. Navigate to Inspections in the sidebar.
  2. Find the scheduled inspection or click New Inspection.
  3. Select the asset and inspection template.
  4. Complete all items and submit.

Taking Asset Photos

Capture photos during audits, inspections, or whenever you need to document an asset's condition.

From the Mobile App

  1. Open the asset profile.
  2. Tap the camera icon or Add Photo.
  3. Take the photo. You can crop or rotate it before saving.
  4. The photo is uploaded to the asset's gallery.

Tips for Good Photos

  • Capture the full asset from multiple angles.
  • Take close-ups of any damage, wear, or defects.
  • Photograph compliance plates and registration labels clearly (the AI can read these automatically).
  • Ensure good lighting and a steady hand.

Viewing Your Jobs

From the Mobile App

  1. Tap Jobs on the home screen.
  2. You will see jobs assigned to you, sorted by date.
  3. Tap a job to view details including location, assigned assets, notes, and scheduled times.

From the Web Platform

  1. Navigate to Jobs in the sidebar.
  2. Use the list view to browse and filter, or the Calendar view to see jobs on a timeline.
  3. Click a job to view full details.

Offline Mode

The AXITRAQ mobile app works even when you have no internet connection.

  • Actions you perform offline (pre-starts, inspections, photos, parts consumption) are queued locally on your device.
  • When your connection is restored, the app automatically syncs all queued actions to the server.
  • You will see a sync indicator showing pending items.
  • Do not log out or uninstall the app while actions are pending — they will be lost.

Getting Help

Dash AI Assistant

Every page of the AXITRAQ web platform includes Dash, the AI assistant.

  1. Click the Dash help icon (usually in the bottom-right corner of the screen).
  2. Type your question in plain language, for example: "How do I add a new pre-start checklist?"
  3. Dash provides instant, context-aware answers based on the page you are currently viewing.

For account issues (password resets, permission changes, 2FA resets), contact your company's AXITRAQ administrator.

Safety Reminders

  • Always complete a pre-start checklist before operating any equipment.
  • Never operate a failed asset. If a pre-start check fails on a critical item, do not use the asset. Report the issue immediately.
  • Report damage immediately. Use the maintenance request feature as soon as you notice a problem.
  • Keep your qualifications current. AXITRAQ tracks qualification expiry dates. Ensure your licences and certifications are renewed before they expire.
  • Log your hours accurately. Timesheet records are used for payroll and compliance. Record actual start/finish times and breaks.
